The Role
- Provide comprehensive administrative support to the Executive Team, including managing schedules, drafting communications, and coordinating meetings.
- Own and execute projects and initiatives from inception to completion with minimal oversight.
- Manage and coordinate complex calendars across time zones and proactively resolve conflicts.
- Prepare executives for meetings, events, and travel with all necessary information and documentation.
- Plan and manage domestic and international travel, optimizing for both time and cost.
- Assist with HR-related tasks (up to 25% of time), including onboarding support and policy coordination.
- Draft agendas, take meeting minutes, and ensure follow-up actions are completed.
- Review and process contracts, NDAs, and other documents, flagging discrepancies as needed.
- Oversee corporate travel memberships and credit card usage programs.
- Act as a gatekeeper and liaison for internal and external stakeholders.
- Prepare facilities and logistics for visitors and special events.
- Continuously improving systems, tools, and workflows to enhance executive team efficiency.
- Minimum of 5 years’ experience as an Executive Assistant supporting VP-level executives or higher (C-Suite experience strongly preferred).
- Advanced proficiency in Microsoft Office Suite; ability to adapt to and implement new tools.
- Exceptional and demonstrated organizational, time-management, and project management skills.
- High level of integrity, discretion, and confidentiality.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and emotional intelligence, with a service-oriented mindset.
- Proven ability to multitask, prioritize, and maintain composure under pressure.
